Import Harvest time entries from CSV
A step-by-step guide to moving your Harvest time history into Hourledge: how to export it, which columns are read, and what stays behind.
Last updated October 31, 2026
1. Export your time from Harvest
Either of these gives you one row per time entry (per Harvest’s help center):
- Reports → New report → Detailed time, choose the timeframe (e.g. all time), then Export → CSV.
- Settings → Import/Export → Export all time (administrators). Large accounts get the file by email.
While you are there, use Export all invoices to keep PDFs of your past invoices.
2. Import it into Hourledge
- Create an account (no card) and open Import in the app.
- Drop the CSV file, or paste the CSV text.
- Check the preview: entries, date range, clients and projects found.
- Import. Clients and projects are matched by name (case-insensitive) and created if they don’t exist yet.
Which columns are used
| Harvest column | Becomes in Hourledge |
|---|---|
Date | Entry date |
Client | Client (matched by name) |
Project | Project under that client |
Notes | Entry notes (falls back to Task when notes are empty) |
Hours | Duration; decimal (1.5) or h:mm (1:30) |
Billable? | Billable or non-billable |
Billable Rate | Hourly rate on the entry, and the client’s rate when the client is new |
Other columns (cost rate, approvals, roles, teams and so on) are ignored. Rows without a date or with zero hours are skipped.
What stays behind
- Invoices, payments and expenses (not part of the time export)
- Start and end clock times: imported entries keep their date and duration
- Team members: Hourledge is one workspace for one person
Re-running an import is safe: entries already in your account (same date, project, duration and notes) are skipped.
After the import
Your imported time shows up in reports right away. Set billing emails on your clients, then make your next invoice from unbilled time. New to Hourledge? Read why freelancers are switching or see what’s on the Free plan.
Questions
Which Harvest export should I use?
The Detailed time report exported as CSV, or Settings → Import/Export → Export all time, which produces a detailed time CSV for the whole account. Both have one row per time entry.
Will importing the same file twice create duplicates?
No. Entries with the same date, project, duration and notes as ones already in your account are skipped, and the result tells you how many were skipped.
Are Harvest invoices imported?
No. Invoices, payments and expenses are not in the time export. Download your invoice PDFs from Harvest (Settings → Import/Export → Export all invoices) before you cancel.
Does it handle hours like 1:30?
Yes. Hours can be decimal (1.5) or hours and minutes (1:30).
